How to manage WhatsApp orders without losing track

Keep talking on WhatsApp, but take the orders somewhere else. Send customers a link where they order and pay; every order then lands in one list with the address, items and payment, and order updates go back to the customer on WhatsApp by themselves.

Why chats are a poor order book

A WhatsApp chat is perfect for answering questions and building trust. As an order book, it fails quietly:

  • details (size, address, date) arrive in separate messages, sometimes days apart;
  • you copy them into a notebook or a spreadsheet, and mistakes creep in;
  • you can’t see at a glance what’s paid, packed or shipped;
  • every “where is my order?” message needs you to look it up.

Step 1: send a link instead of taking details

When a customer asks for a product, reply with a link to that product (or the shop link) rather than asking for their size and address. They choose, add their address and pay. You receive one complete order.

If you agreed a special price in the chat, send an order link for that customer with the agreed price, so nobody has to type numbers twice.

Step 2: keep one order list

All orders, from WhatsApp, Instagram or your shop link, should land in one list where you can see what’s new, what’s paid, what to pack and what to ship. Work through it in batches: confirm, pack, print labels, ship.

Step 3: let updates go out by themselves

Customers mostly ask three things: did you get my order, when will it ship, where is it now. Automatic WhatsApp messages at each step (placed, shipped with tracking, delivered) answer all three before they ask.

Send these only to customers who agreed to WhatsApp updates at checkout, and give them a way to stop them.

Step 4: confirm cash-on-delivery orders

For COD, ask the customer to confirm with one tap before you pack. Pack confirmed orders first and follow up on the rest.

A daily routine that takes minutes

  1. Morning: open the order list, confirm new orders.
  2. Midday: print labels and packing slips for confirmed orders, pack.
  3. Afternoon: add courier details; customers get the tracking link on WhatsApp.
  4. Evening: reply to chats that need a person.
